Portal Terms

Effective date: November 4, 2026

These terms describe use of the Bespoke Property Group Owner Portal and Resident Portal, operated by Bespoke Property Group, LLC (“Bespoke,” “we,” “us”). They are for people invited to use a portal: residents, and owners and management users. Help: bespokepropertymanagement215@gmail.com.

Scope and the parties

The public website has its own Website Terms, and the Privacy Notice explains information handling. The property you live in or manage may be owned by someone other than the operator. Your lease is between you and your landlord; these terms do not replace it.

Accounts and access

Use only your own authorized account. Keep sign-in codes, passwords and authenticator codes private, and do not share an account. Do not try to reach another household’s or another portfolio’s records. Tell us promptly about an invitation sent to the wrong person or any suspected unauthorized access.

Access depends on your current authorization and household or portfolio relationship, and it can end when that ends. Ending portal access does not end a lease, decide anyone’s right to live in a home, or settle a housing dispute.

Owners and management users: take care when entering contact details, adding household members and changing access. Check that the recipient and household are right before sending an invitation.

Shared household conversations

Everyone in a household who has portal access shares one conversation with authorized management users. A person added later can see the household’s earlier messages and attachments. Sent messages cannot be edited or deleted in the portals.

Do not use the shared conversation for confidential information about another person, identity documents, payment details or sensitive personal matters. For a confidential concern, contact management separately at bespokepropertymanagement215@gmail.com.

Messages, notices and your lease

The portal supports everyday communication and access to rental information. Sending a message, or viewing or dismissing an announcement, does not by itself serve a legal notice, agree to a lease change or create an electronic signature.

Use the notice methods your lease and applicable law require. Do not rely on the portal alone for an eviction, default, termination or other legally significant notice unless that exact method has been confirmed as valid.

Maintenance and emergencies

Residents may use the household conversation to raise questions, repairs and updates for management. The portal has no separate maintenance-request system, and we do not promise a response time or that messages are watched continuously. For an urgent matter or outside regular hours, call (215) 939-6252. We do not promise that the number is answered at all hours or within a set time. For immediate danger, contact emergency services; the portal is not an emergency service.

Lease dates and amounts

Lease dates and amounts due shown in the portal are entered by management and may need correction. Tell management promptly about a discrepancy. A displayed amount does not change your lease, prove a payment was received or replace your accounting and dispute rights. Payments are not handled in the portal.

Uploaded material

Upload only material you are allowed to share for the property-management purpose at hand, and avoid unnecessary information about other people. Do not upload unlawful, infringing, threatening or malicious material. You keep any rights you have in your material. By uploading it you give the operator permission to host, copy, scan, process and show it to the portal’s authorized audience, and to keep records as the Privacy Notice describes and as the law requires. This permission does not allow use of resident uploads in public advertising or marketing.

Because sent messages and attachments cannot be removed in the portal, tell us at bespokepropertymanagement215@gmail.com about a mistaken or inappropriate upload. We will consider the request against the law, records we must keep and other people’s interests, and tell you what we are able to do.

Owners and management users must have permission to publish the listing content and photographs they enter. Published listing material is public and can be copied; hiding a listing may not remove previously reachable image addresses.

Acceptable use

Use the portals lawfully. Do not harass others, interfere with the service or its security, test its defenses without written permission, introduce malicious files, use it to discriminate unlawfully, or use another person’s account.

Third-party services

The portals rely on service providers, described in the Privacy Notice, and application links on listings lead to other websites. Their terms and notices govern their own services.

Availability

The portals may be interrupted or unavailable. If a time-sensitive matter cannot be handled in the portal, use the contact method your lease or management has given you. Keep copies of records that matter to you and that you may lawfully keep.

Suspension and ending access

We may suspend or end an account or access that is misused, endangers security or other people, or whose authorization has ended. We will try to give notice where that is practical and safe. Suspending portal access does not by itself affect a lease or legal rights.

Disclaimers and responsibility

The portals are provided as they are, and we cannot promise they are uninterrupted or error-free. Nothing here limits responsibility that the law does not allow to be limited, or rights under a lease.

Your rights

These terms do not waive rights that cannot lawfully be waived, including fair-housing, privacy, consumer and tenant protections, and they are not a substitute for legal process.

Questions or concerns

If you have questions or concerns about these services, please contact bespokepropertymanagement215@gmail.com so we can help.

Changes

We may update these terms. The effective date shows the current version. A change that needs your agreement, or a particular notice process, will follow that process; posting alone does not create new obligations for you.
